Event Scheduling Policy

Please read carefully. These Event Scheduling Policy govern your access to and use of the DevLabs platform by Automatech. Using our platform means you accept all terms outlined below.

How Events Are Scheduled

DevLabs automatically schedules events at the start of each year using an intelligent event scheduler. The scheduler creates Seasonal, Quarterly, Non-Tech Degree, and Non-Tech School events for the entire year based on predefined phase timelines.

Seasonal Event Timeline

Seasonal events run monthly. Each month follows a strict phase timeline to ensure fair participation:

  • Pre-Registration: 15th of the previous month → 1st (midnight)
  • Registration: 1st → 15th (23:59)
  • Preparation: 1st → 15th (23:59)
  • Battle: 16th (00:00) → 26th (23:59)
  • Conclusion: 27th (00:00) → end of month

Quarterly Event Timeline

Quarterly events span an entire quarter (3 months). The phase timeline is based on the quarter boundaries:

  • Registration: 1st of quarter → 15th of the last month of quarter (23:59)
  • Preparation: 1st of quarter → 15th of the last month (23:59)
  • Battle: 1st of the last month → (last day - 5) of last month
  • Conclusion: (last day - 2) → end of quarter

Non-Tech Degree & School Events

Non-Tech Degree and Non-Tech School events follow the same quarterly timeline as Quarterly events.

  • Registration, Preparation, Battle, and Conclusion phases mirror the Quarterly schedule
  • These events are designed for science models, research projects, and school-level innovations

Phase Descriptions

Each phase has a specific purpose for participants:

  • Pre-Registration - Teams can preview event details and prepare before official registration opens
  • Registration - Teams register and complete payment during this window
  • Preparation - Teams develop their projects; no submissions accepted yet
  • Battle - Active competition phase; project submissions are open
  • Conclusion - Results are finalized, scores reviewed, and certificates issued

Important Scheduling Notes

  • Phase transitions happen automatically at midnight - ensure submissions are completed before deadlines
  • Late registrations after the 15th will not be accepted for Seasonal events
  • Quarterly events accept registrations up to the 15th of the final month in the quarter
  • Project submissions are only valid during the Battle phase - submissions outside this window are rejected
  • Certificates are issued automatically after the Conclusion phase is finalized by the admin
  • DevLabs admins may adjust timelines for special events - check the Events page for the latest schedule

Event Types Overview

The scheduler creates the following event categories each year:

  • Seasonal - Monthly technical hackathons (12 per year)
  • Quarterly - 4 large-scale national events per year (Q1: Jan-Mar, Q2: Apr-Jun, Q3: Jul-Sep, Q4: Oct-Dec)
  • Non-Tech Degree - Quarterly innovation challenges for college students
  • Non-Tech School - Quarterly science project competitions for school students
